Moving From Excel or a Notebook to Inventory Software: A One-Week Plan
· OneLedger Team · 3 min read
Excel and notebooks work — until they don't. Usually the breaking point is a second staff member, a second location, or the day you realise your "stock" sheet hasn't matched the shelf for months. Moving to inventory software sounds like a big project, but for most shops it is about a week of steady work.
Day 1: decide what you want from the software
Write down the three problems you most want solved. For example:
- Faster billing at the counter,
- Knowing what to reorder,
- Separate stock for shop and godown.
These decide what you set up first. You don't need every feature on day one.
Day 2: clean your item list
Your existing list is your biggest asset — and usually messy. In Excel:
- One row per item you sell. Remove duplicates ("Fevicol 50g" and "fevicol 50 gm").
- Columns you need: name, category, brand, unit, selling price, MRP, cost price, GST rate, HSN code, barcode (if any).
- Variants: for garments or shoes, note size and colour columns.
- Batches / serials: for pharmacy or mobiles, keep batch-expiry or IMEI columns.
Don't aim for perfect. Missing HSN or brand can be filled later.
Day 3: import items
In OneLedger Inventory, go to Bulk tools → Import Items (Excel):
- Download the template, or upload your own file — columns are matched automatically by common names.
- Preview: errors are shown row by row (missing price, duplicate barcode).
- Fix and import. Items without barcodes get one automatically.
Also import parties (customers with credit, suppliers) from the parties import.
Day 4: opening stock
Opening stock can come in with the item import (a quantity column per branch) or be added afterwards with a Stock In voucher with reason Opening stock. If you have a godown, enter its stock in the godown branch.
Honest advice: if your current figures are unreliable, do a quick physical count of each section and use those numbers. Starting with correct stock is worth a few hours.
Day 5: set up the shop
- Branches: add your godown or second outlet.
- Users: give each staff member their own login and only the permissions they need.
- Labels: print barcode labels for items that don't have one.
- GST billing: if you use OneLedger GST, connect it in Settings so bills flow there.
Day 6: train staff with real bills
Spend an hour at the counter:
- Scan items, change quantity (
3*before the barcode), add a customer by mobile number. - Take payment by cash, UPI or split.
- Hold a bill and recall it.
- Make a sales return.
Run a few days in parallel with your old method if it gives you confidence — but not more than a few days.
Day 7: go live and check
Bill everything through the software. At the end of the day, run Daily Sales and Collections by Payment Mode and compare with the cash drawer. Small mismatches in the first week are normal; they tell you where staff need help.
The first month
- Enter every purchase bill — this is what keeps stock right.
- Fill reorder levels for top items.
- Check the reorder list weekly.
- Do a cycle count of top sellers at the end of the month.
FAQ
Can I import my old bills? Yes — the bills import accepts many invoices in one Excel file, useful for bringing in recent history or bills from another system.
What if my Excel has different column names? The import recognises common synonyms and lets you map columns before importing.
Do I need a computer? No. The app works in a phone browser, including camera scanning. A PC with a scanner is faster for busy counters.
