Data security & privacy at OneLedger
Updated 7 November 2026
Your stock, prices, customers and sales are sensitive business information. This page explains, in plain words, how OneLedger Inventory protects them — and what you can do on your side.
Each business is kept separate
Every record (items, stock, bills, parties, payments) carries the ID of the business it belongs to, and every screen and report is filtered to the logged-in user’s business. One business cannot see another’s data.
Staff see only what you allow
- Roles: owner, admin, branch manager and staff.
- Branch limits: a staff member can be limited to one or more branches.
- Permissions: tick what each staff member may do — create bills, edit prices, give discounts, see cost price, see profit reports and more.
- Activity log: important actions such as logins, edits and cancellations are recorded with the user and time.
Owners and admins can block a login at any time.
Safe connections and passwords
- The live service runs over HTTPS, so data between your browser and the server is encrypted.
- Passwords are stored as one-way hashes, never as plain text.
- Repeated wrong logins are slowed down to make password guessing harder.
- Logged-in pages are not stored in the browser cache, so the Back button on a shared counter PC does not show business data after logout.
Your data stays yours
We do not sell or rent your data. You can export items, stock, vouchers and every report to Excel at any time. Read our Privacy Policy for the details.
What you can do
- Give every staff member their own login — never share the owner password.
- Use the permissions to hide cost and profit from counter staff.
- Use a strong password and log out on shared computers.
- Export important reports (stock valuation, outstanding) regularly for your own records.
- Block the login of anyone who leaves your business the same day.
